We collect contractual information in order to create our booking contract with you. This includes your name, address, email address, phone numbers, partners name and childrens ages. This is all to create the best holiday experience we can for you and ensure we are able to contact you to fulfil your booking. We never ever sell your data on and give you the option to opt-in when booking to hearing about our offers. You can opt out at anytime. If you require additional services whilst on site we will always ask your permission to share any data with suppliers.

Our booking software is Staylists Limited, a company registered in England and Wales with registration number 08425366.

When you make a Reservation through the Website, Staylists Limited will use your personal information to complete the Reservation. The details they collect from you will include your name, address, email address, phone number and the name, address, email address and phone number of any person you are traveling with (your “Party”), where required.

By providing them with any personal information relating to members of your Party, you confirm that you have their consent to provide this information and to our processing it in accordance with this Privacy Policy.

To ensure that Secret Cloud House holidays Ltd can fulfil the Reservation in accordance with the Contract for Accommodation, Staylists Limited will share your personal information, and any personal information you have provided in relation to any member of your Party, with Secret Cloud House Holidays Ltd with whom you have made the Reservation. Automated emails sent during the process of your reservation including confirmations, statements, balance reminders and follow ups are sent via Staylists Limited third party SendGrid which is protected by Privacy Shield. We use Xero accounting package where we simply enter your name, email address where applicable and log an invoice to follow deposit and balance payments through the process of your booking. This data is not used for any other purpose but accounting and is stored securely to satisfy legal and accounting requirements. Xero data is encrypted using industry-standard data encryption, multiple layers of firewalls are in place, all access to their data centres and servers is controlled and monitored 24/7, and they perform regular security audits.

We will only retain your personal information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal or accounting requirements. 

Our Website contains contain links to and from the websites of our local attractions, pubs, restaurants and so on.

If you follow a link to any of these websites, please note that you have left our websites and these websites have their own privacy policies.

We do not accept any responsibility or liability for these third party policies or websites. 

It is important we only use your data where you would like us to, so after fulfilment of your booking with us we would have no further contact unless you have opted into our marketing database. There is a yes or no question when booking, please note every marketing email provides the option to unsubscribe. We are committed to ensuring that your information is secure. In order to prevent unauthorised access or disclosure, we have put in place suitable physical, electronic and managerial procedures to safeguard and secure the information we collect online.  This includes full security software on any device that handles personal data.

You may request details of personal information which we hold about you and after we have fulfilled contractual obligations, you can ask that your data is erased from our systems. Customers can easily request deletion of their personal data after a reservation. This will not delete the reservation but will only delete personal data attached to historical, fulfilled reservations. It is in our legitimate interests to have the guest data available for current and future reservations as without it we will not be able to fulfil our contractual obligations to our customer. Email hello@secretcloudhouseholidays.co.uk if you wish for your personal data relating to a fulfilled reservation to be deleted.
